How to accept crypto payments on QuickBooks invoices
QuickBooks runs your invoicing and accounting, but it does not accept stablecoins on its own. This guide shows how to add USDC and USDT, alongside cards and ACH, with SaturnShift, and have every payment reconcile back into QuickBooks automatically. One-click connect, no API keys, and no manual reconciliation.
Does QuickBooks accept crypto by default?
No. QuickBooks Online is where you create invoices and keep your books. It does not include a way to accept stablecoins. To take USDC or USDT, you connect a payment provider that can present those options to your customers and then record the result back in your accounting.
SaturnShift does both halves. It gives your customers a pay page that accepts cards, ACH and stablecoins, and it syncs the payment, the fees and any refunds back into QuickBooks so nothing is left to reconcile by hand.
The fastest way: connect SaturnShift
The quickest route is a one-click connection. In your SaturnShift dashboard, open Integrations and click Connect on QuickBooks Online. Approve access when QuickBooks asks, and you are done. There are no API keys to copy and nothing to configure by hand.
Once connected, your open QuickBooks invoices appear in SaturnShift automatically, ready to send with cards, ACH, USDC and USDT on a single hosted pay page.
Why accept stablecoins on QuickBooks
No new workflow to learn
Your invoices stay in QuickBooks where they already are. Accepting a stablecoin feels no different from accepting any other payment method.
Books reconcile automatically
The payment, the processing fees and any refunds post back to the correct accounts, so you are not exporting data or reconciling by hand.
Cards and crypto together
The same pay link offers cards, ACH and stablecoins. You give crypto-native customers a better option without changing anything for everyone else.
One settlement asset
Whatever network a customer pays on, you receive USDC on Base. You do not juggle multiple chains or assets.
Step by step: from connect to reconciled
Connect QuickBooks in one click
In your SaturnShift dashboard, open Integrations and click Connect on QuickBooks Online. Approve access when QuickBooks asks, and you are returned connected. There are no API keys to copy.
Your invoices sync in automatically
Open invoices created in QuickBooks appear inside SaturnShift on their own. There is nothing to re-enter and no export step.
Send the pay link through SaturnShift
Send the invoice from SaturnShift so your customer gets a single hosted pay page that offers Card, ACH, USDC and USDT together.
Your customer pays however they want
They pick a method and complete payment on a secure hosted checkout. Crypto-native customers pay in stablecoins; everyone else pays as usual.
Everything reconciles back to QuickBooks
The payment is recorded against the invoice and marked paid, and the processing fees and any refunds post to the right accounts. Your books stay reconciled with no manual work.
How payments and fees sync back
When a customer pays, SaturnShift records the payment against the matching QuickBooks invoice and marks it paid. The processing fees post to the right expense account, and any refunds you issue post back too, so the numbers in QuickBooks always match what actually happened. For a closer look at that flow, see how SaturnShift automatically reconciles payments in QuickBooks.
It works in both directions. An invoice created in QuickBooks flows into SaturnShift to be paid, and a sale you take directly in SaturnShift is pushed into QuickBooks as a recorded, reconciled transaction. Wherever the invoice starts, both systems stay in step.
Do my customers need to own crypto?
Only the ones who want to pay in crypto. A customer paying in USDC or USDT needs a wallet and a stablecoin balance. Everyone else pays by card or bank transfer from the very same pay page.
Stablecoins are additive, not a replacement. You are not asking customers to change how they pay. You are giving crypto-native customers a better option while keeping cards and ACH available for everyone else.
Who pays the network and gas fees?
The customer does, and it is transparent. When someone pays in stablecoins, SaturnShift calculates the on-chain costs and adds them to the customer total before they pay. Those costs are never deducted from your settlement, so blockchain fees do not reduce what lands in your wallet.
There are three kinds of on-chain cost, all handled the same way and frontloaded onto the customer: network gas, any cross-chain bridge fee if they pay on a network other than Base, and any USDT-to-USDC conversion. Whatever a customer pays with, you settle in a single asset, USDC on Base.
Is my QuickBooks data safe?
Yes. The connection uses QuickBooks' official OAuth, so you approve access inside QuickBooks and can revoke it at any time. SaturnShift only touches the invoicing and payment data it needs to keep your books in sync, and access tokens are stored encrypted. You are never asked to paste secrets into your browser.
Common questions
Does QuickBooks Online accept crypto out of the box?
No. QuickBooks handles your invoicing and accounting, but it has no built-in way to accept stablecoins. You add that by connecting a payment provider. SaturnShift adds USDC and USDT alongside cards and ACH, and syncs the result back into QuickBooks automatically.
Do I need API keys or developer setup?
No. You open Integrations in your SaturnShift dashboard, click Connect on QuickBooks Online, and approve access. It is the same one-click pattern as a "Sign in with" button. There are no keys to copy or store.
How does a payment get back into QuickBooks?
Automatically. When a customer pays, SaturnShift records the payment against the matching QuickBooks invoice and marks it paid. The processing fees and any refunds post to the right accounts too, so your books reconcile without manual work.
Which cryptocurrencies can my customers use?
USDC and USDT on Ethereum, Base, Polygon and Arbitrum. Whatever network a customer pays on, it settles to you as USDC on Base, so you always receive a single, consistent asset.
Do my customers have to pay in crypto?
No. The same pay link accepts cards, ACH and stablecoins. Crypto-native customers pay in USDC or USDT, and everyone else pays exactly as they do today.
Do I pay gas or network fees?
No. Network gas, any cross-chain bridge fee, and any USDT-to-USDC conversion are calculated at checkout and paid by the customer. They are never deducted from your settlement.
What about invoices created in SaturnShift?
They flow the other way too. A sale you take in SaturnShift is pushed into QuickBooks as a recorded, reconciled transaction, so both systems stay in step regardless of where the invoice started.
Can I record crypto payments in QuickBooks automatically?
Yes. When a customer pays a QuickBooks invoice in USDC or USDT, SaturnShift records the payment against that invoice and marks it paid, and posts the processing fees and any refunds to the right accounts. You do not enter crypto payments into QuickBooks by hand.
Is this a QuickBooks crypto payment integration?
Yes. SaturnShift is a native QuickBooks Online integration that adds USDC and USDT, as well as cards and ACH, to your invoices and writes the payment data back into QuickBooks. You connect it in one click with no API keys.
