How Sales Tax Works With a SaturnShift Online Store

Sales tax is the part of selling online that most new store owners quietly dread, usually because the word covers four different jobs that get talked about as if they were one. Only one of those jobs is something a checkout can do for you. This page explains which one, what SaturnShift actually does, and what stays with you.

What automatic sales tax at checkout does

When you switch automatic sales tax on for your online store, SaturnShift asks Stripe Tax to calculate the applicable sales tax on each order as the customer checks out. The calculation uses the tax registrations you have recorded and information about the order, including where it is going. The amount is added to the order total, and the customer sees it before they pay.

That is the whole of what the switch does, and it is worth being precise about it, because the other three jobs below are the ones that get people into trouble. Calculating tax correctly on an order is not the same as being registered to collect it, and neither is the same as filing a return.

Most confusion about sales tax comes from treating these as one process. They have different owners, and only the first belongs to your checkout.

Signing up with a state or country to collect tax there. This happens with the authority itself, not inside SaturnShift. You then record the registration in your account so calculation knows about it.

Deciding where you have an obligation to register in the first place. It depends on where you are based, where you sell, how much you sell and rules that change. No software decides this for you.

Filing and remittance

You, or your accountant or filing service

Submitting returns and paying over the tax you collected, on each authority’s schedule. SaturnShift does not file returns and does not remit tax.

Setting it up inside SaturnShift

Setup happens in your SaturnShift account, under Sales Tax in My Account. There are two things to provide. The first is your head office address, which is what activates tax calculation on your account. The second is your tax registrations: the places you have already registered with a tax authority to collect.

Both are entered through Stripe’s own secure components, embedded directly in SaturnShift. That means you do not need a separate Stripe login to configure tax, and the details you enter go to Stripe rather than being stored by us. Once your head office is saved, your account can calculate. Once you add a registration, calculation has somewhere to apply.

You add registrations after you have registered with the authority, not instead of doing so. Recording a registration in SaturnShift tells the calculation what you are already registered for. It does not register you anywhere.

When an order calculates $0.00 tax

You will see orders that calculate no tax, and that is often the correct answer rather than a fault. Tax depends on what was sold, where it was going and what you are registered for, and there are ordinary combinations where the right amount is zero. A $0.00 result that came from a real calculation is a real result, and the order is payable in the normal way.

What a $0.00 calculation does not tell you is whether you should have been registered somewhere you are not. Those are separate questions. Calculation answers what applies given your current setup. Whether your current setup is complete is a question for you and your accountant, and it is worth revisiting as your sales grow or spread into new places.

What SaturnShift does not do

We think this is worth stating plainly rather than leaving to the small print. SaturnShift does not determine where you have nexus, does not decide where you are required to register, and does not register you with any authority. We do not file sales tax returns and we do not remit tax on your behalf. Nothing here is legal, tax or accounting advice, and using automatic sales tax does not by itself make a business compliant.

What we do is make the calculation part accurate and automatic, and keep the setup somewhere you can reach without leaving your account. For most small sellers that removes the part of the problem that software is genuinely good at, and leaves the judgment calls where they belong.
